Privacy Policy

This Privacy Policy explains how Cadence CRM (“Cadence,” “we,” “us”) collects, uses, and shares information when you visit crmcadence.com, use our CRM application (including cadencecrm.pro), start a trial, or submit forms we host for agents. By using Cadence, you agree to this Policy and our Terms of Service.
1. Who we are
Cadence is a CRM platform built for health insurance agents. Questions about privacy: support@crmcadence.com.
2. Information we collect
Depending on how you use Cadence, we may collect:
- Account information — name, work email, resident state, agency details, and login credentials (passwords are stored hashed).
- Billing information — processed by Stripe. We do not store full card numbers on our servers.
- CRM content you enter — contacts, notes, tasks, emails, call/SMS metadata, documents, tags, and related sales records.
- Form submissions — data from public lead-capture, intake, or application links you share with clients (for example name, email, ZIP, household details).
- Technical data — IP address, browser type, device info, cookies/session tokens, and basic usage logs needed to run and secure the service.
3. How we use information
We use information to:
- Provide, maintain, and improve Cadence (including AI-assisted features you choose to use)
- Create and manage trials and paid subscriptions
- Send transactional email (signup, password reset, billing, product notices)
- Operate integrations you configure (email SMTP, Twilio voice/SMS, Google Calendar, etc.)
- Detect abuse, secure accounts, and troubleshoot issues
- Comply with law and enforce our Terms
We do not sell your personal information. We may use aggregated, de-identified statistics to understand product usage.
4. Client and lead data (important for agents)
When you store contact or client information in Cadence, you are the business that decides why that data is collected and how it is used with your prospects and clients. Cadence processes that data on your behalf to run the CRM. You are responsible for having a lawful basis to collect and contact those people (including TCPA, CAN-SPAM, and state insurance/privacy rules) and for your own privacy notices to them when required.
5. Sharing
We share information only as needed to operate Cadence, including with:
- Infrastructure and email providers that host or deliver the service
- Stripe for payments
- Twilio and other providers you connect for voice, SMS, calendar, or AI
- Professional advisors or authorities when required by law or to protect rights and safety
Service providers are instructed to use data only to perform services for us or for you.
6. Cookies and sessions
We use cookies and similar technologies for login sessions, security, and basic preferences (such as theme). You can control cookies in your browser; disabling them may prevent sign-in.
7. Retention
We keep account and CRM data while your account is active and as needed for backups, billing disputes, security, and legal obligations. You may request account closure by contacting support; some records may remain for a limited time in backups or logs.
8. Security
We use reasonable administrative and technical measures (including encrypted connections and hashed passwords). No method of transmission or storage is 100% secure.
9. Your choices
- Update account details in Cadence Settings where available
- Cancel a subscription through billing tools or by contacting support
- Request access, correction, or deletion of your personal account data by emailing support
- Unsubscribe from marketing emails using the link in those messages (transactional mail may continue)
Depending on where you live (for example California under the CCPA/CPRA), you may have additional rights. Contact us to make a request. We will not discriminate against you for exercising privacy rights.
10. Children
Cadence is for business use by adults. We do not knowingly collect personal information from children under 13 for marketing Cadence itself.
11. International users
Cadence is operated from the United States. If you access the service from elsewhere, you understand your information may be processed in the U.S.
12. Changes
We may update this Policy. The effective date above will change when we do. Continued use after an update means you accept the revised Policy.
